Commusoft alternative for builders and small contractors (2026)
Commusoft is UK job management software with deep roots in heating, plumbing and maintenance: engineers out on jobs, an office booking them in, a certificate at the end. If that's your business, it's a serious option and you should get a quote. If you're a builder or small contractor running extensions, refurbs and fit-outs that last weeks, you want software built around the project, not the visit.
Quick answer. A heating or electrical service firm with a dispatcher, service plans and gas certificates should look hard at Commusoft. A builder who quotes, contracts and runs projects, and wants a monthly price with no annual licence commitment, is better served by EstiMate.
What Commusoft does well
Commusoft is headquartered in Southwark, London, was founded by Jason Morjaria, and sells in the UK, US and Canada (Commusoft). Its feature set is built for service and installation firms with office staff and engineers:
- scheduling, dispatch and invoicing, with an engineer mobile app;
- certificates, with particular strength in heating and plumbing work, such as the CP12 (Commusoft blog);
- service plans, maintenance contracts and subcontractor management;
- a customer portal where customers accept quotes, pay deposits and download certificates (Commusoft);
- a reverse charge option in the VAT dropdown on customer and supplier invoices (Commusoft blog);
- integrations with Sage, QuickBooks Desktop and Online, Xero, FreeAgent and KashFlow (Commusoft help).
It has AI as well. AI:den is built in for email summaries, call transcripts and job reports, and the paid AI:den+ add-on drafts a quote from the parts and labour on a job record (Commusoft). That's Commusoft's US page, so check UK availability with them.
Customers rate it well: 4.7 out of 5 from 212 reviews on Capterra (Capterra). That's a solid record, and we're not going to pretend otherwise.
Every licence, every year
The bigger difference for a small builder is how you pay. Commusoft sells per licence, per month, on a 12-month contract that renews annually. You can add monthly rolling licences on top, and daily licences for subcontractors (Commusoft plans, Commusoft FAQs). Office staff, managers and engineers all need a licence (Commusoft FAQs).
Commusoft doesn't publish prices. We couldn't find a figure on its plans page in October 2026, so you'll need to ask for a quote for your number of licences.
| How you pay | Commusoft | EstiMate |
|---|---|---|
| Published price | No, quote only | Yes, from £0 |
| Basis | Per licence | Per business |
| Term | 12 months, renews annually | Monthly, cancel any time |
| Who needs a login | Office, managers, engineers | One business login; site crew by job link (Pro) |
| Free plan | None found | Yes, 3 jobs a month |
Prices checked October 2026: Commusoft plans (quote only) and EstiMate pricing. EstiMate is £15.99 a month, or £39.99 a month for Pro, per business, and those prices are what you pay. Both are one office login. Team seats with roles sit on EstiMate Corp, from £249 a month. We couldn't find Commusoft's VAT basis, as it doesn't publish prices.
A licence model makes sense for a firm with a steady team and a busy office. A small builder's headcount goes up and down with the work, so ask two questions before you sign: how many licences do I need for the whole year, and what happens if I need fewer in month seven? A recurring complaint in Capterra and Trustpilot reviews is that cutting licences or cancelling during the contract is hard (Capterra, Trustpilot). Read the terms before you commit.
A gas certificate won't price a loft conversion
Here's how the two compare on the things a building job needs. "Not found" means we searched Commusoft's site and help material in October 2026 and found nothing. Ask them if it matters to you.
| Building job need | Commusoft | EstiMate |
|---|---|---|
| Reverse charge VAT | Yes | Yes |
| Accounting software links | Sage, Xero, QuickBooks and more | Export files for Xero and QuickBooks |
| AI quote drafts | Add-on (AI:den+) | Yes (Pro) |
| AI take-off from drawings | Not found | Yes (Pro) |
| Building contract with e-signature | Quote signature; builder not found | Yes |
| Variations | Not found | Yes |
| Site diary | Not found | Yes |
| Snagging on drawings | Not found | Yes (Pro) |
| P&L and VAT figures | Via accounting software | Built in (no HMRC filing) |
Two rows go Commusoft's way or level, and we'll say so: it has native reverse charge, and its accounting integrations are wider than EstiMate's file exports. If a direct link into Sage matters most, that counts.
The rest is where a builder's money lives. Picture a ten-week refurb with a deposit, four stage payments and three variations. In EstiMate the accepted quote becomes a contract the client signs online, with payment milestones set out. Each variation is priced on site and approved by the client from a link, then the contract total and invoices update. The site diary records the weather and who was on site every day, and on Pro you mark snags with numbered pins on the drawings and hand over with a completion sign-off. That's the kind of job our project management software is built for, and a site diary is what you'll be glad of if there's a dispute about who was on site when.
Who should stick with Commusoft
Commusoft is the better fit if you are:
- a heating, plumbing or electrical firm doing servicing, breakdowns and installs;
- a business where certificates and service plans drive the repeat work;
- running an office team that dispatches engineers every day;
- set on a direct integration with Sage, FreeAgent or KashFlow.
EstiMate isn't a dispatch or route-planning tool. If you've got twenty engineers on reactive call-outs, that's Commusoft's world, not ours.
Who EstiMate suits better
Builders and small contractors who price, contract and run projects: extensions, loft conversions, kitchen and bathroom refits, office fit-outs. You get the quote link (the client can accept, decline, pick optional extras or ask for amendments), the contract, the programme, variations, site records, invoices with card payment through Stripe, and the Accounts tab with P&L, VAT figures and a CIS register. One price for the business, monthly, no contract. It was built by a tradesman turned contracts manager, from the spreadsheet his own design-and-build firm quoted from.
